eBike FAQ: Check Out and Check In

How do I check out an eBike?

After completing the safety and eBike use training, residents may reserve an eBike for check out by using the online reservation form or by calling the eBike location. Reservations are not confirmed until they have been reviewed and approved by eBike staff. Residents will get a confirmation email or phone call once the reservation is approved. 

On the day and time of the confirmed reservation, the resident will come to the appropriate eBike location, sign out the bike, and start their ride. The eBike must be returned to the appropriate eBike location no later than three hours after the ride start time.

How long can I use the eBike before I have to return it?

Eligible riders may check out a bike for up to three hours.

Can I check out an eBike for longer than three hours so I can use it to go to work?

During the pilot phase of the HADCO eBike Lending Library, the time each resident has with the eBike must be limited to allow access for as many other residents as possible. This policy may change if the program expands and more eBikes are added.  

Can I reserve an eBike in advance to make sure one is available?

Yes, eBike reservations may be requested in advance. At launch, residents will only be allowed to make one reservation at a time to allow other participants the opportunity to try out an eBike. This policy may change if eBike reservations are low. At all times, HADCO has the right to cancel a confirmed reservation, if needed.

How many eBike reservations can I make at a time?

During the initial pilot of the HADCO eBike Lending Library Program, we ask participants to limit their eBike reservations to one at a time. You may make another reservation as soon as you’ve completed a previous registration and ride.

If demand for eBike reservations is low, we may allow participants to reserve more than one ride time at a time. HADCO reserves the right to limit the number of reservations per resident and to cancel a confirmed reservation, if needed.

Can I check out more than one eBike at a time?

Registered eBike Lending Library participants may only check out one eBike at a time. However, if two eBikes are available in the same time slot, two registered participants from the same household may register for one eBike ride each so they can ride together.

This only applies to the HADCO Admin office location. The Vine Street Apartments location only has one eBike available at a time.

Is there a limit on how many times I can check out an eBike?

Yes, residents can be limited on how many times they can check out an eBike. However, if demand for an eBike is low, a repeat user may be allowed to check out an eBike again.

How do I cancel or reschedule an eBike reservation?

Please use the Calendly confirmation email link or call the eBike location to cancel a reservation. Once you’re received confirmation that the reservation was cancelled, you may schedule a new reservation through the Calendly reservation link or over the phone. 

How do I check in the eBike after my ride?

Bring the eBike back to the original eBike location and sign the eBike back in.

Do I have to recharge the battery before returning an eBike?

Residents are not responsible for charging the eBike before returning it to the eBike station.

Can I let someone else use the eBike while I have it?

No, for insurance and liability reasons, only the resident who checked out the eBike may operate it. The resident who checked out the eBike is ultimately responsible for anything that happens to the eBike during their ride time.

Do I need to bring my own lock?

No, HADCO provides a bike lock secure the eBike as needed while on a ride. Users must ensure the lock is tethered to an appropriate bike rack or other secure structure before leaving the bike unattended.

Is there a penalty for returning an eBike late?

There is no late charge for the late return of an eBike. However, residents who show a pattern of returning the eBike after their time has expired may be removed from the Lending Library program.

If an eBike is not returned within 24 hours of the ride start time, the eBike will be reported as stolen. 

I need to return an eBike and the office is closed. What do I do?

For eBikes from the HADCO Admin office, please secure the eBike to the bike rack outside the HADCO office using the attached locking mechanism and tether. Please email or call the office to let us know that the eBike was returned and where you left it. 

For eBikes from the Vine Street Apartments, please secure the eBike by locking and tethering it to a pole or other secure object as close to the office as possible. Please email or call the office to let us know that the eBike was returned and where you left it.
